Buying Team Transaction Coordinator

RP Exotics is seeking a Buying Team Transaction Coordinator to support our vehicle buying and consignment departments. This role owns the administrative and transaction flow from the moment a car is committed through onboarding, paperwork collection, logistics coordination, and final deal processing.

This is the operational backbone behind the buying team, ensuring deals move forward cleanly, efficiently, and without delays.

Deal & Purchase Coordination

• Track all committed purchases, consignments, and active deal statuses
• Ensure each deal has correct documentation, notes, and next steps
• Follow up with sellers, consignors, lenders, transporters, and internal teams
• Confirm collection of titles, payoff info, wire instructions, IDs, lien releases, and required paperwork
• Coordinate handoffs between buying, office, title, and sales teams
• Keep buyers informed on outstanding items without requiring them to chase paperwork

Consignment Support

• Assist with onboarding, management, and offboarding of consignments
• Ensure agreements, documents, and onboarding requirements are completed properly
• Track pricing updates, follow-ups, and communication with consignors
• Support both local and remote consignment processes

Administrative Follow-Up

• Own post-deal follow-up including missing documents, titles, and forms
• Resolve issues before they impact deal timelines
• Maintain visibility across all deals and outstanding items

Internal Process Management

• Maintain accurate deal logs, CRM notes, and status tracking
• Ensure vehicles are properly stocked, marked inbound, and routed correctly
• Identify bottlenecks and help improve internal workflows

Communication & Coordination

• Act as the central point of communication between buyers, consignors, and internal teams
• Communicate clearly and persistently with all parties
• Escalate issues that threaten deal timelines or execution

• Highly organized with strong attention to detail
• Strong follow-through and ability to manage multiple deals simultaneously
• Comfortable with consistent follow-up via calls, texts, and email
• Ability to work quickly without sacrificing accuracy
• Strong written and verbal communication skills
• Comfortable operating in a fast-paced, high-value transaction environment
• Experience in automotive, dealership admin, title work, or transaction coordination preferred but not required
